What we collect, and why
Kelly Heating & Electric is a heating, cooling, and electrical contractor in Eau Claire, Wisconsin. This page explains what the two forms on this website collect, what happens after you send one, who sees it, and how long it is kept.
The service request form
The form on our contact page asks what your request is about, your name, a phone number or an email address (at least one), and a short description of what you need. Your ZIP code or town and your preferred contact method are optional. We use this information to understand your request and respond to it.
The job application form
The form on our careers page asks for your name, the kind of work you are interested in, a phone number or an email address (at least one), and yes or no answers to five questions: whether you are legally permitted to accept permanent employment in the United States, whether you have applied here before, whether you have a clean driving record, whether you have ever been convicted of a felony, and whether you are currently employed. Your mailing address, an explanation of any conviction, your desired salary, the date you can start, whether we may contact your present employer, and your experience are optional. Résumé uploads are not enabled.
The paper application you can download from the careers page is not sent through this website. If you mail it or drop it off, it is handled as a paper record at our office.
What happens when you send a form
Your submission is stored in the records system that receives this website's forms, and it is given a reference number.
An email with the details is then sent to a small number of Kelly Heating & Electric staff. For a service request, it lists the reference number, when it was sent, your name, phone number, email address, preferred contact method, what the request is about, the ZIP code or town you entered, and the description you wrote. For a job application, it lists the reference number, when it was sent, your name, phone number, email address, the position you chose, your answers to the questions above including anything you wrote about a conviction, and what you wrote about your experience, if anything. If you gave an email address, replying to that email reaches you directly; the email does not link to the records system. The same staff currently receive both service requests and job applications.
If you give an email address, you also get an automated confirmation email with your first name and your reference number. That confirmation does not include what you wrote.
Who can see the full record
The full submission, including what you wrote, is kept in the records system, which Kelly's website provider runs for Kelly. Signing in to the records system takes a password and a second verification step. The records system uses outside hosting, database, and email delivery services.
How long we keep it
Job applications are deleted automatically about 24 months after the application record was last updated, unless the record is marked as still under consideration for a role, or there is a documented legal reason to keep it. After deletion, the system keeps a short note with the reference number and when it was deleted.
Service requests are not deleted automatically, and no deletion schedule has been set for them.
Automatic deletion does not remove emails already sent to staff. Deleted records can also remain in encrypted backups of the records system until those backups expire.
Spam protection
To limit spam, the records system keeps a count of forms sent from each internet connection, stored against a coded version of the connection's IP address rather than the address itself. These counts are not deleted automatically.
Interactive maps
The contact and service area pages do not load Google Maps automatically. If you choose to load an interactive map or open an address in Google Maps, your browser contacts Google and sends the technical information normally included in a web request, such as your IP address, browser information, and the referring page.

Changes to this page
We will update this page when the forms or the way we handle them change, so that what it says stays true.
